Refund Policy

Refund Policy 

At integrating spirit, we're committed to providing high-quality counselling services. To ensure fair access for all clients and to manage our practitioners' schedules effectively, we have the following policy regarding cancellations and refunds.

 

1. Appointment Confirmation

When you book an appointment with us, that time slot is reserved specifically for you. We often send appointment reminders via [e.g., SMS, email] in advance.

2. Cancellation and Rescheduling Notice

We understand that sometimes unforeseen circumstances arise. If you need to cancel or reschedule your appointment, we kindly request a minimum of 24 hours' notice prior to your scheduled session time.

You can notify us by:

3. Late Cancellations and No-Shows

 * Cancellations within 24 hours: If you cancel your appointment with less than 24 hours' notice, the full session fee will be charged. This fee helps cover the time reserved for you, which cannot be offered to another client on short notice.

 * No-Shows: If you do not attend your scheduled appointment without any prior notice, you will also be charged the full session fee.

4. Rescheduling Attempts

We understand that unexpected situations can occur. In cases of late cancellation, we will make every reasonable attempt to reschedule your appointment for another available time slot within the same week, if suitable for both parties. If a successful reschedule occurs, the cancellation fee may be waived.

5. Refunds

 * Cancellations with more than 24 hours' notice: If you cancel your appointment with more than 24 hours' notice, any pre-paid fees for that session will be fully refunded to your original payment method. Please allow [e.g., 5-10 business days] for the refund to be processed and appear in your account.

 * Late cancellations (within 24 hours) and No-Shows: As stated above, these will incur the full session fee and are not eligible for a refund, unless a successful reschedule is arranged as per Section 4.

6. Exceptional Circumstances

We recognise that genuine emergencies can happen. If you experience an urgent and unavoidable situation that prevents you from attending your appointment (e.g., sudden illness, accident, family emergency), please contact us as soon as possible to discuss your circumstances. We will review these situations on a case-by-case basis and may exercise discretion regarding the application of the cancellation fee.

7. Payment of Fees

Any outstanding cancellation or no-show fees must be settled prior to booking your next appointment with us.

8. Policy Acceptance

By booking an appointment with [Your Website Name/Counselling Practice Name], you acknowledge that you have read, understood, and agree to this Cancellation and Refund Policy.

Important considerations for you:

 * How do clients pay? If you take upfront payments, clarify how refunds are processed (e.g., "refunded to the credit card used for payment"). If you only invoice after the session, clarify that the full fee will still be invoiced for late cancellations.
